This Privacy Policy (“Privacy Policy”) describes how Navisteps Pte. Ltd. (81 Ayer Crescent #03-54 Singapore 139967) (“Navisteps”, “we”, “us”, “our”) collects, uses and shares information about you when you use our products or services, or otherwise interact with us, including our website at www.navisteps.com (“Website”) and our related online and offline offerings (collectively, the “Services”).

The Privacy Policy forms an integral part of our Terms of Service (“Terms”) and is applicable to all customers and their authorised employees, users of the Services, data subjects and/or other persons who contact Navisteps for any reason and who access the Services. By using the Services, you consent to our use of your information under this Privacy Policy and Terms.

1. Information We Collect

We collect personal information when you provide it to us, when you use our Services, and when other sources provide it to us, as further described below.

A. Information You Provide to Us

Account Creation

When you create an account, we collect information such as your first and last name, company email address, password, and an optional profile photo. If you are a User who has been invited to use the Services by an Administrator, your Administrator may provide us with your name, company email address and/or company information in order to facilitate such invitation, in which case your use of the Services shall be deemed as authorisation of and consent to your employer’s disclosure of your personal information in the manner described in this Policy. All employer service administrators further warrant, represent, and undertake that they have obtained the consent of all parties of the personal information provided in the manner described in this Policy. If you provide to us any personal data relating to a third party, you warrant, represent and undertake that, by submitting such information to us, you have obtained the consent of the third party to provide us with their personal data.

Using our Services

We may collect information such as credit card details, travellers’ names, accommodation names, accommodation locations and/or lengths of stay for accommodation reservations. For flight reservations, we may also collect passenger details such as name, salutation, date of birth and nationality, as well as passport details including passport number, country of issue, issue date and expiry date. We also collect expense data such as receipts that you have uploaded on the Website, and details of the receipt that you have provided, such as the nature of the expense, as well as date and amount spent.

When you are making a booking on behalf of those parties within your Company for whom you are legally authorized to act for, it is your responsibility to ensure that the person you have provided personal information about is aware that you have done so, and accepts how Navisteps uses their information. All information will be held in secure electronic databases. We will use reasonable endeavours to ensure that the personal information is accessible only to appropriate parties on a need to know basis.

B. Information Collected Automatically

Automatic Data Collection

When you visit the Website, we may collect information such as your IP address, geographic data, booking data, application version, language settings, and pages that have been shown to you. If you are using a mobile device to access the Website, we may also collect information that identifies your mobile device, such as the device ID, location of the device (with your consent), and device-specific settings.

Cookies and Analytics Information

We may use tracking technologies (“Cookies”) to automatically collect information. For more information, please refer to the following section on Cookies.

C. Information from Other Sources

We may obtain information about you from other sources, including third-party services and organizations. For example, if you access our Services through a third-party application, such as a social networking site or a third-party login service, we may collect information about you from that third party that you have made available via your privacy settings.

Cookies are small text files sent by us to your computer or mobile device, which are essential for the functioning of Navisteps’s features. They are unique to your account or your browser. We utilise cookies to enable the automatic collection of certain information in order to facilitate basic functions of the Services and also to enhance user experience in the following ways: 

  • Authentication: Cookies are used to recognise the state of user log-ins, so that you remain logged in after doing so, and are able to perform activities associated with your user account profile and access private information available to your user account.
  • Security: We use cookies to enable and support our security features, and to help us detect malicious activity.
  • Preferences, features and services: Cookies can tell us which language you prefer and what your communications preferences are. They can help you fill out forms on our Website more easily. They also provide you with features, insights, and customized content.
  • Marketing: We may use cookies to help us deliver marketing campaigns and track their performance. Similarly, our partners may use cookies to provide us with information about your interactions with their services, but use of those third-party cookies would be subject to the service provider’s policies.

If you choose to limit the ability of websites and applications to set cookies, your overall user experience may be affected and/or you may lose the ability to access the Services, since access will no longer be personalised. 3. How We Use Your Information

  • at your request, provide you with our services, including creating a user account, verifying your bookings and reservations, processing and confirming your reservation, assisting in managing travel arrangements, processing payments, refunds and adjustments, providing expense-based reporting and analytics, and communicating with you about services requested (e.g., pre-reservation or post booking chat support), special requests, changing of flights and/or accommodations, cancellations;
  • provide customer support and technical assistance;
  • send you email information about products and services that may be relevant to you;
  • maintain and improve the Website and/or our operations;
  • protect the security of you and the Website;
  • exercise or enforce a right or obligation conferred or imposed by law, including responding to legal demands; and/or
  • comply with all applicable laws, regulations, rules, directives, orders, instructions, guidance and requests from any local or foreign authorities, including regulatory, governmental, tax and law enforcement authorities or other authorities.

We may from time to time and in compliance with all applicable laws on data privacy, disclose your personal data to any personnel of Navisteps or to third parties, whether located in Singapore or elsewhere, in order to carry out the purposes set out above. Third parties include our business partners such as airlines, hotels, or intermediary service providers that require your data to secure your reservations. In the course of performing the requested services, your personal data may be transferred to and stored with such third parties located outside your home country, where data protection standards may differ from your home country. Navisteps works only with reputable service providers and has signed relevant agreements with them to ensure their compliance to the relevant regulations and adoption of necessary safeguards to protect your information. Navisteps does not sell personal data to any third parties and we shall remain fully compliant of any duty or obligation of confidentiality imposed on us under the applicable agreement(s), terms and conditions, and/or applicable law that govern our relationship with you.

During calls with our customer support team, live listening may be done or calls may be recorded for quality and reference purposes which includes the usage of the recordings for the handling of claims, training and fraud detection purposes. If you would prefer that your call was not recorded, you can opt out by stating this, or by hanging up. Call recordings are kept for a limited amount of time and automatically deleted thereafter, unless Navisteps has a legitimate interest to keep such recording for a longer period, including for fraud investigation and legal purposes.

Please note that the confirmation emails and text messages sent after your booking, as well as the guest review emails sent after your departure, are not marketing messages. These messages are part of your accommodation reservation process. 

Communications on the Site

We offer you and accommodation partners various means to communicate about accommodations and existing reservations. You may contact us with questions about your flight reservations or accommodation bookings via the Website, and via other channels that we may make available.

We may access communications and may use automated systems to review, scan, and analyse communications for security purposes; fraud prevention; compliance with legal and regulatory requirements; investigations of potential misconduct; product development and improvement; and customer or technical support. We reserve the right to block the delivery of or review communications that we, in our sole discretion, believe may contain malicious content, spam, or may pose a risk to you, accommodation partners, us, or others. Note that all communications sent or received using the Website’s communication tools will be received and stored by us. Business partners through whose platform you made the reservation and accommodation partners may choose to communicate with you directly via email or other channels that we do not control.

4. How We Protect Your Information

Navisteps maintains reasonable physical, electronic and organisational measures to protect your data against unauthorised or unlawful access, misuse, disclosure, alteration and destruction. Whilst we endeavor to keep all information secure through commercially accepted means such as encryption and organisational security safeguards, we cannot guarantee absolute security of all information. You are responsible to keep your user account and passwords secure by taking suitable measures to prevent unauthorised usage or access by unauthorised persons. Navisteps cannot be held liable for any inappropriate use of user account names and passwords carried out by any user. In the event that information is compromised and we are aware of it, reasonable steps will be taken to investigate and notify the affected users and other various actions may be taken including notifying the respective legal authorities and law enforcement agencies.

5. Rights on Personal Data

As a natural person using Navisteps, the company that you represent or work for is the controller of your personal data while we act as data processor for your company. For any request on information relating to the collection, use and storage of your personal data by us, please contact your company to fulfil such requests. You may also read our Privacy Policy for more details.

Nonetheless, you may choose what personal data you wish to provide to us. If you choose not to provide certain information, usage of some or all of our services may be affected. Subject to the jurisdiction, you have the ability to choose what to do with your personal data (i.e. access, correction, removal, objection, portability, etc.) and may raise a request by email to support@navisteps.com if assistance is required. We will handle such requests in accordance with applicable law, and may charge a reasonable administrative fee to cover the costs of responding to any such request.

6. Data Retention

We will retain your information for as long as your relationship with Navisteps continues. On termination of the relationship, Navisteps will retain the information necessary for a period of time up to the statute of limitations applicable for each transaction or for as long as we are required to do so for law, accounting or other purposes. We will only use the data where required by law or to demonstrate fulfilment of our legal or contractual liabilities. When Navisteps no longer needs to use your information, we will delete your data or otherwise anonymise it so that you can no longer be identified from it.

7. Governing Law and Jurisdiction

This Privacy Policy is governed in accordance with the laws of Singapore. Any claims or disputes arising out of or relating to the use of our Services shall be subject to the exclusive jurisdiction of the Courts of Singapore. Use of our Services is unauthorized in any jurisdiction that does not give effect to all provisions of this Agreement, including, without limitation, this paragraph. If any part of this Agreement is found to be invalid, illegal or unenforceable by a court, the validity of the remaining provisions will not in any way be affected or impaired. Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights.

8. Amendments to the Privacy Policy

We may revise this Privacy Policy from time to time at our sole discretion. If there are any material changes to this Privacy Policy, we will notify you as required by applicable law. All changes shall be effective immediately upon posting to this page unless otherwise mentioned and the effective date will be noted at the beginning of this Privacy Policy. You understand and agree that you will be deemed to have accepted the updated Privacy Policy if you continue to use the Services after the new Privacy Policy takes effect.

9. Additional Considerations

Minimum Age

Our Services are not directed to individuals under 18. We do not knowingly collect Personal Data from children under 18. If we become aware that a child under 18 has provided us with Personal Data, we will take steps to delete such information.
